Privacy policy

This policy explains what personal information Acel Cortex Solutions Corp. ("Acel Cortex", "we", "us") collects through acelcortex.ai, try.acelcortex.ai and related pages, how we use it, and the choices you have.
1. Information we collect
Information you give us
- Booking a call: your name, email address, phone number if you provide it, company name, and your answers to the questions on our booking form.
- Messages: the content of texts and emails you send us, along with your phone number or email address.
- Demo sign-up: the details you enter when you sign up for our demo environment, such as your name, email, company and property management software.
Information collected automatically
- Site analytics: we use Vercel Web Analytics to understand page visits in aggregate, such as which pages are viewed and where visitors come from. It does not use cookies and does not identify you personally.
- Technical data: our hosting provider keeps standard server logs, such as IP address, browser type and the time of a request, to run and secure the site.
2. How we use your information
- To schedule, prepare for and hold the calls you book.
- To reply to your messages and follow up about Acel Cortex.
- To send call confirmations and reminders.
- To provide, maintain and improve our website and demo.
- To protect our site and comply with the law.
We do not sell your personal information.
3. Text messages
If you text us or give us your mobile number, we may text you about your booked call and your inquiry, such as confirmations, reminders and replies. Message frequency varies. Message and data rates may apply. Reply STOP to opt out at any time, or HELP for help.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging opt-in data and consent will not be shared with any third parties, except service providers that help us deliver messages.
4. How we share information
We share personal information only as needed to run our business:
- Service providers that work on our behalf, such as our scheduling provider (Calendly), website hosting and analytics (Vercel), and our email and messaging providers. They may use your information only to provide services to us.
- Legal reasons, when required by law or to protect our rights, our users or the public.
- Business transfers, if Acel Cortex is involved in a merger, acquisition or sale of assets.
5. Data we process for our customers
When a property management company uses Acel Cortex, we process invoices, work orders, property and owner information on that company's behalf and under our agreement with them. That company decides how the data is used, and our handling of it is governed by our services agreement and data handling addendum with them. We do not use client data to train, fine-tune or improve any external or publicly available AI models. If you are a tenant, owner or vendor of one of our customers, please contact that company with questions about your information.
6. How long we keep information
We keep personal information for as long as we need it for the purposes above, for example while we are in conversation with you or providing our services, and as required by law. When we no longer need it, we delete or anonymize it.
7. Security
We use reasonable administrative, technical and physical safeguards to protect personal information. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
8. Your choices and rights
Depending on where you live, you may have the right to access, correct or delete your personal information, to withdraw consent, or to object to certain uses. You can also unsubscribe from emails using the link in the email, or reply STOP to texts. To make a request, email support@acelcortex.ai. We may need to verify your identity before we respond.
If you are in Canada, you also have the right to raise a concern with the Office of the Privacy Commissioner of Canada.
9. Where information is stored
We are based in Canada, and our service providers may store and process information in Canada, the United States or other countries. Information stored outside your country may be subject to the laws of that country.
10. Children
Our website and services are for businesses and are not directed to children under 16. We do not knowingly collect personal information from children.
11. Changes to this policy
We may update this policy from time to time. When we do, we will change the effective date at the top of this page.
